Travel reimbursements

The deadline for submitting your reimbursement claim is April 24.


Make your own travel arrangements to IMEX Frankfurt and we'll reimburse the cost of a round-trip flight to and from Frankfurt up to our travel reimbursement limits. Your travel reimbursement limit is based on your home airport.

Book your flights as soon as you’ve been accepted onto our hosted buyer program to get the best prices.  Book your flights to meet the terms and commitments of our hosted buyer program. We do not book travel on your behalf.


Our itinerary feature makes the travel reimbursement claim process simple. It allows us to see your travel plans throughout your trip to IMEX Frankfurt. Amend your itinerary by requesting extra hosted nights, adding any Frankfurt fam trip nights, or nights you’re paying for (you need to book these yourself). You can also remove any nights you’ve added if your plans change. Even if you’re not submitting a travel reimbursement claim, we need you to complete your itinerary and submit your travel details so we can book your transfers and your accommodations.


*Important: This does not apply to hosted buyers on the IMEX individual long-haul program. We do not cover their travel costs.

IMEX hosted buyers (excluding buyers registering into one of our “IMEX individual – hotel only” hosted buyer groups) enjoy free travel and accommodations as part of our hosted buyer program.

Before you make your travel arrangements read the information below. As a hosted buyer, you must meet our terms and commitments, including attending the show for the full duration of your program and arriving by 10am each day.

Program and attendance dates

Find your hosted buyer group program dates in your IMEX account. 
 
Program dates are particular to each hosted buyer group. When you register into a hosted buyer group, you're agreeing to attend that group’s program dates.
If you cannot attend these dates, let your group leader and us know. Changes to your dates cannot be guaranteed and are subject to availability.

 
Tuesday and Wednesday program (for European hosted buyers only). You commit to being at the show for two days (from 10am to 5:30pm on Tuesday and Wednesday). We host you for one night (Tuesday). 
 
Wednesday and Thursday program (for European hosted buyers only). You commit to being at the show for two days (from 10am to 5:30pm on Wednesday and from 10am to 4pm on Thursday). We host you for one night (Wednesday). 
 
Monday to Wednesday program (for European and mid-haul hosted buyers only). You commit to being at the show for two days (from 10am to 5:30pm on Tuesday and Wednesday). We host you for two nights (Monday and Tuesday). 
 
Tuesday to Thursday program (for European and mid-haul hosted buyers only). You commit to being at the show for three days (from 10am to 5:30pm on Tuesday and Wednesday, and from 10am to 4pm on Thursday). We host you for two nights (Tuesday and Wednesday). 
 
Monday to Thursday program (for long-haul hosted buyers only). You commit to being at the show for three days (from 10am to 5:30pm on Tuesday and Wednesday, and from 10am to 4pm on Thursday). We host you for three nights (Monday, Tuesday and Wednesday). 
 
Monday to Friday program (for long-haul hosted buyers flying home direct on Friday). You commit to being at the show for three days from 10am to 5:30pm on Tuesday and Wednesday, and from 10am to 4pm on Thursday. We host you for four nights (Monday, Tuesday, Wednesday and Thursday). 


We make the final decision on all buyers accepted on our program.
